Whistleblower Policy
A whistleblower is a person who alerts about the occurrence, risk of occurrence, or past occurrences of any form of misconduct, violations, or irregularities within the organization that could cause harm to our operations, individual persons, or stakeholders. Everyone should feel safe reporting without fear of reprisals, i.e., forms of punishment for raising concerns.
If you discover that someone representing the Extendo Group in Sweden (Extendo, ExTe, Trux, Timbtech) has displayed inappropriate behavior, we encourage you to inform us. If you are an employee, we first encourage you to address the issue directly with the parties involved. If this is not possible, you should discuss the matter with your immediate supervisor, safety representative, the supervisor’s manager, or the HR manager. You also have the option, like everyone else, to use this system to report your concerns. See below under "What Can Be Reported" for more information.
It is important that our whistleblower system is not misused to make false allegations. We encourage you to provide your name in the report to facilitate the investigation, but you can also report anonymously. All cases will be treated with strict confidentiality.
Purpose
To describe how we handle reporting and actions regarding misconduct and irregularities within Extendo's operations in Sweden (Extendo, ExTe, Trux, Timbtech).
Scope
The whistleblower system applies to all operations within the Extendo Group in Sweden.
Responsibility
It is everyone's responsibility to report any misconduct, and it is the recipient's responsibility to take appropriate actions to resolve the issue and prevent recurrence.
What Can Be Reported?
The whistleblower system can be used to report serious violations that may affect Extendo or the lives or well-being of individuals. Examples of such cases include:
- Issues with financial reporting, accounting, or embezzlement
- Bribery, corruption, and conflicts of interest
- Harassment, threats, violence, bullying, or discrimination, both internally and externally
- Violations of competition law or other legal requirements, such as data protection
- Violations of human rights, as well as health and safety issues in the workplace
- Violations of environmental legislation and pollution
Other circumstances that could cause Extendo financial loss, damage Extendo’s reputation, or have other negative consequences for the company and/or involved individuals.
Dissatisfaction with employment conditions (e.g., salary or other agreements), work-related disputes, and violations of internal policies such as alcohol policies should not be reported through the whistleblower system. These matters are handled through normal reporting channels, such as through the immediate supervisor, management, HR department, or union representatives. If your case cannot be processed under the whistleblower system, you will be informed and given guidance on alternative reporting avenues. Generally, we encourage open and constructive dialogue with both colleagues and supervisors to handle disagreements and daily challenges in the workplace.
If You Want to Report - Where Should You Turn?
If you experience misconduct and/or irregularities:
- First and foremost, if possible, address the issue directly with the parties involved.
- If this is not feasible, contact your immediate supervisor, safety representative, or the supervisor’s manager.
- If the above routes do not feel appropriate or have proven ineffective, or if you are an external reporter (e.g., job seekers, interns, suppliers, customers), contact Extendo's CFO Magnus Mårtensson at magnus.martensson@extendo.se or Extendo’s board member Lennart Bennermo at lennart.bennermo@extendo.se via email or letter to Gundbergsvägen 6, Box 18, 827 28 Färila, Sweden. Matters concerning Magnus or Lennart will be handled by the other person.
All reports will be treated with the utmost confidentiality. We advise against reporting anonymously, as this can hinder the investigation if supplementary information is needed. However, if you choose to remain anonymous, you can send a sealed envelope addressed to Extendo’s CFO or board member.
Investigation and Feedback
Describe the matter as thoroughly as possible and name individuals who may have relevant information for the investigation. The recipient of a report is responsible for investigating the matter, assessing who should participate in the investigation, and deciding on appropriate actions. This must be done with respect and determination. The reporter will receive a confirmation within 7 days and a follow-up within 3 months, where the results of the investigation and any actions taken will be presented. All cases are documented, compiled annually, and stored for two years.
